The regular meeting of the Board of Trustees was held on Wednesday November 13, 2019 in the Library’s Board Room. Attending the meeting were Trustees John VanEngland, Debbie Dane, Elly Young, Ruth Pierce Council Liaison, Library Director Tara Bartley, Staff Karolee Sorenson and Staff Jennifer Hills. Absent were Trustees, Teresa Jones and Monica D’Angelo.
Chairman, John VanEngland called the meeting to order at 4:31 pm with brief introductions. Motion was made to approve the agenda for November 13, 2019 meeting. Debbie Dane motioned to approve the agenda; Elly Young 2nd the motion. The Trustees MSC approval of the October 9, 2019 minutes. Debbie Dane motioned to approve the minutes; Elly Young 2nd the motion.
Approval of Financial Statements The Trustees MSC the approval of the October 2019 bills. Monica D’Angelo came by Monday, November 11, 2019 to approve invoices. She signed and approved the invoices for October 2019. Debbie Dane motioned to approved the October 2019 invoices, Elly Young 2nd the motion. Roll call vote taken. Approved 3-0. Financial/Statistical report: Review of the financial reports. Tara briefly discussed the 1st month of the fiscal year financial statements. Debbie Dane motioned to approve the financial statements for October 2019. Elly Young 2nd the motion. Roll call vote taken. Approved 3-0.
The library was closed Columbus Day for an all staff homeless training.
November 11 – The library was closed for Veteran’s Day.
November 15 – Melissa Berry with Southern Idaho Tourism will be here for the all staff meeting to discuss customer service.
November 28 – Library will close for Thanksgiving Day.
December 3 – Supervisors will attend the One City Retreat at Canyon Crest.
December 6 – The library will participate in the Christmas Parade of Lights.
January 11 – Holiday Party
Our Hero’s tree will be in The Room with a View, the month of November to honor veterans.
November 22 – Youth services Handprints from 3:00 pm – 5:30 pm.
December 1 – Food for Fines will begin for the month of December. Bring in one can of food or a nonperishable item for $1.00 an item in fines and fees up to $30.00 waived. Donations are accepted. All proceeds will go to the South Central Community Action.
Twin Falls City elections are over. Attended a Family Value Forum at the College of Southern Idaho, presented by East Side Baptist Church. Contract has been finalized for the Archway, should be finished by Western Days. Bidding on the new restroom in City Park has been approved. First meeting in January new mayor and vice mayor will be appointed for a two -year term. Deputy City Manager over Public Service, Bryan Pike announced his retirement in January. CFO Lori Race will be retiring in June.
The library has given Foundation their wish list. Reference materials for Adult Services. CSI Art Students will paint a mural down in Youth Services that the Foundation will help with.
The library had a review with the Department of Labor. The Department of Labor request we revise the FMLA portion of the personnel policy. Motion was made by Debbie Dane to revise the FMLA portion of the personnel policy as requested. Elly Young 2nd the motion. Motion carried.
A purchase of a van for bookmobile relief and transportation needs for the library, through a state contract for roughly $25,000.00. This was included in the capital improvement portion of our budget. Debbie Dane motioned to approve the purchase of the van for library and bookmobile use. Elly Young 2nd the motion. Motion carried.
Request to hire a Lead Custodian for the library. The library currently has 3 custodians. Moving one custodian to a lead position; hours will be 4 per day instead of 3 with new responsibilities. Restructuring the responsibilities of the maintenance department. Debbie Dane motioned to accept the request of a Lead Custodian position and restructure the responsibilities of the maintenance department. Elly Young 2nd the motion. Motion carried.
Jennifer Hills, Reference Librarian
The library received a SHRAB (State History Restoration Advisory Board) Grant from the Idaho State Historical Society for $2,835.00. The Twin Falls Public Library Foundation will match $2,835.00, for a total of $5,670.00. In 2016 the library received a donation from the widow of Harald Gerber, a local architect and amateur photographer. The donation included thousands of photographs, negative, slides, microfilm, and documents covering his career from early 1950s through the 2000s. Altogether, as part of the donation, we received over 3500 photographs (slides, negatives, and physical photos), 45 microfilms, and hundreds of documents. Of those, we are digitizing about 1300. The microfilms have been completely cataloged and labeled. Of the slides, all 898 have been cataloged and labeled, and 300 of those are digitized and available online. The goal was to digitize the most important items and organize, catalog, and preserve the entire collection. These have been cataloged and are available to look at online on our web page.
2019 Annual report is due January 1, 2020. This will include a list of Library Trustees and address’s. The library has been weeding books since August 2019 and sending books to Thrift Books for resale or to give to different organizations. From August – November 2019 we have moved 14,600 items. Met with Janie Johnson, School District Librarian regarding sharing E Books with schools. The library is looking to purchase E Book platform to be used in the library and local schools, Canyon Ridge, Magic Valley High School and Twin Falls High Schools.
