Minutes of the Board of Trustees Twin Falls Public Library The regular meeting of the Board of Trustees was held on Wednesday April 8, 2020. The meeting was held virtually per Governor Little’s proclamation. Attending the meeting were Trustees Debbie Dane, Monica D’Angelo, Elly Young, Teresa Jones and Susie Kapeleris. Library Director Tara Bartley and Staff Karolee Sorenson. Absent, Chris Reid, Council Liaison.

Chairman, Debbie Dane called the meeting to order at 4:31 pm with brief introductions. Trustees MSC approval to approve the agenda for the April 8, 2020 meeting. Monica D’Angelo motioned to approve the agenda; Teresa Jones 2nd the motion. Motion approved The Trustees MSC approval of the March 11, 2020 minutes, Special Meeting minutes of March 16, 2020 and Special Meeting minutes of March 27, 2020. Teresa Jones motioned to approve the minutes for all three meetings, Elly Young 2nd the motion. Motion Approved. Roll call vote taken. Approved 5-0.

Approval of Financial Statements Debbie Dane, trustee, requested to have one motion of approval for bills and financials. Request granted. The Trustees MSC the approval of the March 2020 bills. With Governor Little’s proclamation the payables were not able to be physically reviewed by Elly Young. A cash summary was provided to the Trustees for their review. Financial/Statistical report: Review of the financial reports. Tara did a brief overview of the libraries financial statements. Capital purchase of the van for $25,085.00. More purchases have been made for the libraries digital collection to better serve our patrons during the closure of the library. These numbers will be reflected in the April financial statements. Statistical reports were not available at this time due to the closing of the library and will be provided at a later date. Monica D’Angelo motioned to approve the cash summary for payables and the financial statements for the month of March, Elly Young 2nd the motion. Motion approved. Roll call vote taken. Approved 5-0.

Communications & Correspondence

Art and Soul has been postponed until June. Library has been offering and will be offering more virtual programs on Twitter, Facebook and our Instagram pages. Committee ‘s fine tuning new programs and should be available to the public very shortly.

Business Issues

The library will be presenting the preliminary budget for fiscal year 2020/2021 to the city April 18, 2020. Tara reviewed the preliminary budget with the board regarding personnel and capital improvements for the next fiscal year. The final numbers are due in May.

Discussion on a timeline for reopening the library. Depending on Governor Little’s decision to extend his proclamation the library will start to look at having staff only in the library to prepare for the opening to the public with the possibility of offering curbside delivery. Tara will discuss with other libraries on how they are planning on reopening to the public. 3D printing project. Adam Day applied for a grant with Idaho Stem Center for $1,000.00. The grant money is used to buy supplies to build face shields, surgical straps for mask and door foot handles with 3D printers. A website has been built Idahofightsback.com to reach out to the community for help printing these supplies. The library has reached out to St. Luke’s, the Twin Falls Police Department and Fire Department and has given 130 face shields. Library staff have been working remotely from home training, working on committees and webinars. Building future programming for the library as well as school help and planning for summer reading. A timesheet entry process has been established for those employees without remote access. This access is secured through google. Library Director annual evaluation is in May. It was recommended to push this back and reevaluate a time at next month’s meeting.
